Tips and Tricks for printing your schedule

Many organizations still print a paper schedule, and for those who want to do it, you might be wondering if you need to include everything on your schedule in the printout. The answer is no.

Below I am going to explain how to adjust the information that will be seen on a printed paper schedule. Some of the things you will need to do prior to going into the Print Preview Page, and some will be once you are on the Print Preview Page.

How to only include certain Team Members/Positions/Locations:

If you want to only print a schedule that includes certain People, Positions or Locations you will need to use the Add Filter. You can find this in the upper left of your screen. 

Simply click this and check off all the things you want included on your paper schedule. 

Organize the schedule in a certain Grid View:

You can choose a certain view for your schedule from the dropdown. Your choices are Team Member Grid (Week only), Position Grid (Week Only), Location Grid (Week Only), Calendar Grid (Week or Month), or List (Any period of time).

Utilizing the Print Preview Page

Go to Tools>Print Preview after you have added any filters and adjusted the grid to the one you want. 

The print Preview page will look something like the screen below. 

You can see at the top there are a series of toggles.

Hide Totals: This will hide all wage and hour totals.

Hide Events: This will take out the Events Row

Hide Time Off: This will take out and Time Off on the schedule.

Hide Availability: This will hide any inputted availability on the schedule.

Hide Filters: This will hide the top row (Noted in the below picture)

Scale: This allows you to make the image of the schedule larger or smaller than the regular size. *Please note that you may lose information if you increase the scale to high. 


Printing & Saving to PDF

Once you have made all the necessary changes to the schedule you can print it or save it to PDF. You do this from the Print Preview Page (Copy>Print Preview). You will click the green Print button in the upper right. 

From there you can choose the Destination as Save to PDF or the printer of your choosing.
