Auto-Scheduling

Premium Subscription members can now tell ZoomShift what Positions, and at which Locations they need to fill on their schedule, and we automatically assign their Team Members.


Setting up your Schedule for Auto-Scheduling

Setting your schedule up for Auto-Scheduling is simple. You just create all the necessary Open Shifts with the Positions and Locations you need filled.


Never created an Open Shift before? No problem!


Creating an Open Shift for Auto-Scheduling

You can create an Open Shift by clicking the +New button in the upper right of your Schedule Page, or by Clicking the + on the schedule when using a Grid or the Calendar View. The shift box automatically opens to an Open Shift, so all you need to do is fill in the information for the Position and Location you need filled and click Save.


Important Notes: Public Offer must be left ON, and the Open Shift must remain Unpublished to be Auto-scheduled.


Utilizing a Week Template for Auto-Scheduling

Setting up you first set of Open Shifts for Auto-scheduling may take some time, but once it is done, you are able to re-use this set of shifts over and over. You can do this by creating a Week Template.


Never created one before? Here is how:

  1. Create all of your Unpublished Open Shifts for your schedule, for the week.
  2. Click Copy>Create Week Template
  3. Create a name for the Template and click Save.

Now, you can apply this template whenever you need by clicking Copy>Apply Week Template.


Starting your Auto-Scheduling

Now that you have created all of your Unpublished Open Shifts, you can begin to Auto-schedule them. You can do this by clicking Tools>Auto-Schedule.


Our Algorithm will schedule the set shifts to Team members who can be assigned to that Position and Location based on what you have set on the Team Page.


Things that will block Shift from being Auto-Scheduled:

  • Availability that shows a Team Member unavailable during that shift time.
  • Time Off Request that is during the time of the Shift.
  • No Specified Position or Location
  • Individual or Organization wide Overtime will be met if the shift is scheduled.
  • Open Shift is offered to a specific person or people (Public Offer is Off).
  • Open Shift is Published.

Important: Auto-Scheduling can take some time depending on how large your schedule is. You will be notified of its completion via email, as well as any shifts that could not be scheduled. Once it is complete, refresh your page, and you can view what has been scheduled. This a good time as well to move around anything you need to. When you are ready you can then Publish your schedule.
